Privacy Policy

This Privacy Policy explains how PillsCheck handles information when you use the PillsCheck iOS application and the PillsCheck website. PillsCheck is a personal medication reminder and adherence-tracking app. It helps you create medication schedules on your device, receive reminders, confirm, postpone, or cancel scheduled doses, and review your dose history in a calendar.

The short version: the medication information you enter is processed on your device and, if your device is signed into iCloud, is also kept in a copy inside your own private iCloud account so it can be restored and appear on your other devices. We never receive it either way. We run no servers that hold your data, we do not track you, and we do not sell or share your information.

1. Who We Are and How to Contact Us

This Privacy Policy applies to the PillsCheck mobile application, its features, and the PillsCheck website (together, the "Service"). "PillsCheck," "we," "us," and "our" refer to:

"You" refers to any person who uses the Service.

Because we are established in Poland (in the European Union), the EU General Data Protection Regulation (Regulation (EU) 2016/679, "GDPR") applies to us. For users in other regions, additional laws may apply, and we address the United Kingdom, the United States, Canada, and Australia in dedicated sections below.

PillsCheck is designed for individual end users managing their own medication routine. It is not a doctor dashboard, pharmacy service, prescription verification service, medical records system, or clinical decision support tool.

2. Summary: Your Device and Your Own iCloud

PillsCheck runs no account system, no login, and no backend of ours. The medication information you enter - and everything the app derives from it - is created, stored, and read on your device. If your device is signed into iCloud, the app additionally keeps a copy of your medications and your dose history in the private area of your own iCloud account, so that this data survives a reinstall or a lost phone and appears on your other devices signed into the same Apple Account. See Section 5 for exactly what is and is not included.

This has a specific meaning for your privacy:

  • The data you enter is processed on your device, and the iCloud copy sits in your own Apple Account; we never receive a copy of it. We cannot see what medications you track, we do not store your medication data on any server of ours, and we have no technical way to access it - including no way to read the copy held in your iCloud.
  • Because we never receive it, we cannot view it, share it, sell it, or hand it to anyone, and we cannot retrieve it for you if you lose access to your device.
  • You choose what medication information to enter. If you do not provide medication routine information, the app may not be able to create reminders or show adherence history.

Two things involve Apple's network, and neither of them sends your data to us. The first is the iCloud sync described above, which stores your data in your own iCloud account under Apple's terms. The second concerns photos: if you choose a medication photo that is stored in your iCloud Photos, iOS/Apple (not PillsCheck) may retrieve that photo from your own iCloud over the network, which is Apple's retrieval of your own photo on your behalf. See Sections 8 and 17.

We explain below what information the app handles, the legal bases for the on-device processing, and the rights available to you.

3. Information You Provide in the App

You enter your medication routine into PillsCheck. The information you can provide includes:

  • Medication name or label (free text)
  • A free-text dosage label (for example, "50 mg, 1 tablet")
  • A free-text note (any text you choose to add to a reminder, which may contain health detail)
  • An importance level for each medication (low or high), which controls whether reminders are audible or silent
  • An optional medication photo, taken with the camera or chosen from your photo library
  • Schedule and recurrence rules (for example, daily, every few days, specific weekdays, or on-and-off cycles)
  • Reminder times and a start date
  • Dose outcomes that you record, such as pending, taken, missed, or cancelled

The app also derives and stores related information from your activity, including dose and adherence records (the outcome of each scheduled dose, with timestamps and any snooze) and reminder lifecycle metadata (whether a reminder is enabled, when it was created, when it became inactive, and a deletion marker).

PillsCheck does not require an account and does not ask you to provide a name, email address, phone number, home address, doctor information, pharmacy information, insurance information, or caregiver contact details inside the app.

If you contact us for support, we may receive only the information you choose to put in that message, such as your email address and the text you write. Please do not include medication names, schedules, photos, or other health details in support messages unless you specifically want to share them.

4. Health-Related (Special-Category) Information

Most of what you enter into PillsCheck is health-related. Your medication names, dosage labels, free-text notes, importance levels, schedules, reminder times, optional medication photos, and dose-outcome and adherence records can reveal a medication routine and a health condition.

For this reason, we treat this information as "data concerning health" - a special category of personal data under Article 9(1) GDPR (and UK GDPR) - and as "consumer health data" under certain US state laws. The optional medication photo is included in this classification.

PillsCheck uses this information only to provide the reminder and tracking features you ask for. It is not used to diagnose, prescribe, verify treatment, or provide medical advice. The app does not ask for doctor names, pharmacy names, health-insurance details, prescription refill counts, caregiver details, photos of medical conditions, Apple Health imports, lab results, diagnoses, or biometric health metrics.

Because this information is sensitive and is processed entirely on your device, the operative legal gate for it is your own explicit consent, which you give by choosing to enter it. See Section 13.

5. Where Your Data Is Stored

The app keeps your medication reminders, settings, onboarding state, dose records, and any medication photos you attach in a single local file (a JSON file named app-state.json) stored in the app's private Application Support directory on your device. A medication photo is normalized (to roughly 900 pixels on its longest side, saved as a JPEG) and stored inline inside that same single file; there is no separate image file.

iCloud sync. If your device is signed into iCloud, the app also mirrors your medications and your dose history - including any medication photo attached to a medication - into the private database of your own iCloud account (the app's iCloud container, iCloud.com.rongan.pillscheck). This is what lets your history be restored after a reinstall and appear on your other devices signed into the same Apple Account. That copy counts against your iCloud storage, not ours.

Your app settings are not synced: theme, language, app lock, onboarding state, and similar device preferences stay on the device they were set on.

Your choice. Sync is on by default and can be turned off at any time in the app, under Settings, then iCloud Sync. Turning it off stops the exchange immediately, and the app then asks whether to keep or delete the copy already in iCloud - keeping it is what lets a later reinstall restore your history. The setting is per device, so switching it off on one device does not switch it off on another. Sync also follows your device's iCloud sign-in: with no iCloud account, or with iCloud unavailable, PillsCheck keeps working entirely on the device and nothing is sent anywhere.

There is no backend of ours and no server-side copy on our side. The synced copy lives in the private area of your Apple Account, which Apple's design makes visible to you and not to us. See Sections 8, 12, and 16.

To deliver reminders, the app uses iOS local notifications and, where available and authorized, AlarmKit for high-importance alarms. These are device-level system features. Apple may process information necessary to operate iOS, notifications, alarms, App Store distribution, and device services under Apple's own terms and privacy policies (see Section 8).

6. Device Permissions

PillsCheck may request the following iOS permissions to operate. Each is optional and can be managed in iOS Settings:

  • Notifications: to deliver scheduled reminders and follow-up reminders for planned doses.
  • AlarmKit (high-importance alarms): on supported devices, to break through silent mode and Focus for high-importance reminders. On older devices, a Settings-based path is used instead.
  • Camera: to take a medication photo. The camera preview captures nothing on its own; an image is saved only if you choose to add it to a reminder.
  • Photo Library (read access): to choose an existing photo for a medication. This uses the system photo picker that requires full or limited Photo Library access; it is not the permission-less picker that returns only the single image you tap. If you grant access, the app reads the photo you select so it can be attached to a reminder.

PillsCheck does not use location services and has no location permission. The app sends no remote push notifications.

You can change or revoke these permissions at any time in iOS Settings. If you disable notification or alarm-related permissions, the app may not be able to remind you as intended.

7. Notifications, Alarms, and Reminder Scheduling

PillsCheck schedules local reminders for your upcoming doses. A scheduled reminder may include the information needed to display it, such as the medication name, dosage text, time, and reminder action labels. High-importance reminders may use stronger system alert behavior where available and authorized.

When you respond to a reminder by marking a dose taken, postponing it, or cancelling it, the app updates your local dose records and may rebuild pending reminders. When the app becomes active, it may reconcile overdue pending doses and mark them missed after their deadline. All of this happens on your device.

8. Apple's Role (App Store, iOS, and Payments)

Apple Inc. operates the App Store and iOS. When you download, install, update, or run PillsCheck, Apple may process information necessary to deliver those platform services - for example, App Store download statistics, iOS system telemetry, and any crash logs you have chosen to share through iOS Settings (Privacy & Security, then Analytics & Improvements). Apple acts as a separate, independent controller of that data under its own terms and privacy policies. We do not receive it in a form that identifies you.

Payments. Your subscription (see Section 9) is processed entirely by Apple as the seller and merchant of record. We do not receive your card number, billing address, or any other payment data - only Apple's aggregate sales reporting, which does not identify you. You manage, renew, or cancel your subscription through your App Store account settings, you can restore purchases there, and any refund request is handled by Apple.

iCloud sync. The copy of your medications and dose history described in Section 5 is stored by Apple in the private database of your own iCloud account. Apple supplies the storage, the encryption, and the transmission, and operates iCloud under its own terms and privacy policy. The data is held in your Apple Account rather than in an account of ours, and the private database is not accessible to us. Your access to it therefore depends on your Apple Account and your device's iCloud settings, both of which you control.

iCloud photos. If you choose a medication photo that is stored in your iCloud Photos rather than fully downloaded on your device, iOS/Apple (not PillsCheck) may retrieve that photo from your own iCloud over the network so it can be attached to your reminder. That retrieval is an interaction between you and Apple's iCloud service under Apple's terms; it is not a transfer of your data to us.

9. Subscription

PillsCheck is a paid application. Using PillsCheck requires an active auto-renewing subscription, offered as a monthly or yearly plan through the Apple App Store. New subscribers may be offered an introductory free trial; unless you cancel at least 24 hours before the trial ends, it automatically converts into the paid subscription.

Apple processes the payment and bills your Apple ID, as described in Section 8. We never receive your payment details. Pricing, any free-trial terms, the billing period, and the cancellation window are shown to you at the point of purchase using live App Store pricing, and the full subscription terms are set out in our Terms and Conditions.

10. Website Data, Cookies, and Similar Technologies

The PillsCheck website does not use cookies, does not run analytics, and does not track your activity across other websites or apps.

For the website to work, your browser stores a few small, strictly-necessary pieces of information locally on your device:

  • localStorage entries that remember your preferred display language and theme, so the next visit looks the way you left it;
  • a sessionStorage flag that remembers, for the current browser tab only, that you dismissed an in-page promotional banner.

These entries are stored only in your browser, are not sent to us, and you can clear them at any time through your browser's site-data controls. Because they are strictly necessary to provide the functionality you asked for, no cookie-consent banner is required.

The website also loads the Tailwind CSS styling framework from a public content delivery network (cdn.tailwindcss.com). When your browser fetches that file, the CDN provider receives standard request information such as your IP address, User-Agent, and referring page. We do not control or have access to that provider's logs, and no medication or health data is involved. If you prefer to avoid this third-party request, a browser extension that blocks external CDNs can be used; the page will still render, only with reduced styling.

11. No Analytics, No Ads, No Tracking, No Automated Decisions

We want to be explicit about what PillsCheck does not do:

  • No analytics or crash-reporting SDKs. The app does not use Firebase, Google Analytics, marketing pixels, or any third-party analytics or tracking SDKs.
  • No advertising. The app shows no ads, uses no marketing pixels, and does not use your medication data for advertising.
  • No cross-app or cross-website tracking. The app does not use App Tracking Transparency, does not request the advertising identifier (IDFA), and does not use SKAdNetwork or any other advertising attribution system.
  • No automated decision-making or profiling. The app does not include AI features, medication safety scoring, dosage recommendations, or interaction checking, and it does not make decisions about you that produce legal or similarly significant effects. Reminders are simple, deterministic scheduling that you define.
  • No aggregation. Because your medication data stays on your device and in your own iCloud account, we cannot and do not build aggregated or de-identified datasets from it.

If we ever add features that change this - for example, automated decision-making - we will update this Policy before releasing them.

12. Storage and Device Security

On your device, your app data is stored in the app's private storage, in the single local file described in Section 5. It relies on the iOS app sandbox and operating-system file protection tied to your device passcode and biometrics. We do not add a separate, app-managed encryption layer on top of the operating system's protection, and there is no store of ours to secure or breach.

The iCloud copy described in Section 5 is protected by Apple: encrypted in transit and at rest in Apple's data centres, and reachable only through your Apple Account. Its security therefore depends on how well that account is protected, so we recommend keeping two-factor authentication enabled on it.

This design eliminates the risk of a server-side breach of your medication data, because we hold none of it. It also means your device security settings matter: anyone with access to your unlocked device may be able to view app content. You should protect your device with a passcode and Face ID or Touch ID where available, keep iOS updated, and avoid sharing access to your unlocked device with people who should not see your medication routine.

Apple controls iOS device encryption, app sandboxing, backup behavior, iCloud settings, and restore behavior. If your iCloud or device backups include PillsCheck data, those backups are handled according to your Apple settings and Apple's policies.

13. Legal Bases for Processing (GDPR and UK GDPR)

Where the GDPR or the UK GDPR applies, the on-device processing that the app performs takes place on the following legal bases:

  • Article 6(1)(b) GDPR / UK GDPR - processing necessary to provide the local functionality you request (creating reminder schedules, displaying reminders, recording dose outcomes, and showing adherence history).
  • Article 9(2)(a) GDPR / UK GDPR - your explicit consent to process health-related medication information. This explicit consent is the operative gate for the special-category (health) data. You give it by your free, affirmative choice to enter that information into the app, and you may withdraw it at any time by deleting the relevant entries inside the app, by turning iCloud sync off in Settings, or by uninstalling the app. Withdrawing consent does not affect the lawfulness of processing carried out before withdrawal.

Because we do not receive a copy of your medication information - the iCloud copy described in Section 5 sits in your own Apple Account, not in ours, and we cannot read it - our role as a "controller" within the meaning of Article 4(7) GDPR is limited to designing and supplying the app - that is, to determining the purposes and means of the processing the app performs on your device. We are also a controller for the limited correspondence data you may email to us (see Section 14). We are not a controller of any server-side dataset, because none exists. In practice, you remain in sole control of the data you enter, you decide whether and when to enter it, and you can delete it at any time without our involvement.

For users in the United Kingdom, the UK GDPR (the assimilated GDPR as it forms part of UK law) and the Data Protection Act 2018 apply, and references in this Policy to the "GDPR" should be read as including the UK GDPR. The article numbering is the same under the UK GDPR.

Optional iOS permissions, such as notifications and AlarmKit, are controlled by your device settings and may be granted or revoked at any time without affecting the lawfulness of prior on-device processing.

14. Your Rights and How to Exercise Them

You control your data directly in the app and on your device. You can manage notification and AlarmKit permissions, language, theme, and other settings through the app or iOS Settings. You can view, edit, or delete reminders inside the app, and you can delete the app from your device to remove app-local data (subject to any device-backup behavior controlled by iOS) and delete the iCloud copy from your Apple Account, as Section 16 describes.

Where the GDPR or UK GDPR applies, you have the following rights in relation to personal data:

  • right of access (Article 15);
  • right to rectification (Article 16);
  • right to erasure, the "right to be forgotten" (Article 17);
  • right to restriction of processing (Article 18);
  • right to data portability (Article 20);
  • right to object to processing (Article 21);
  • right to withdraw consent at any time (Article 7(3));
  • right not to be subject to a decision based solely on automated processing, including profiling (Article 22) - see Section 11, where we confirm PillsCheck carries out no such processing;
  • right to lodge a complaint with a supervisory authority (see Section 15).

How these rights work here. Because your medication information is never transmitted to us and we hold no copy of it - neither on a server of ours nor in the private iCloud area where your synced copy sits - we cannot service an access, correction, or erasure request for data we never receive, and there is no request portal, because there is nothing on our side to request. The most direct and complete way to exercise these rights is in the app itself: open, view, edit, or delete the relevant medication, reminder, time slot, note, photo, or history entry; uninstall the app to remove all app-local data from your device; and delete the iCloud copy as described in Section 16.

If you have contacted us by email and we therefore hold limited correspondence-related personal data about you (for example, your email address from a support message), you may exercise the rights above in respect of that correspondence by writing to privacy_pills@rongan.me.

15. Right to Lodge a Complaint

If you are in the European Union or the EEA, you may lodge a complaint with the supervisory authority competent for us:

16. Retention and Deletion

We retain nothing on our servers, because we have none. Your data lives on your device, and in your own iCloud account if that sync is active, for as long as you keep it there.

Deleting within the app. When you delete an individual reminder in the app, it is removed from view and the app marks it as deleted, but the underlying record (including any note and photo) may be retained in the local app-state.json file on your device, and in the iCloud copy, until the app data and the iCloud data are removed as described below. In other words, deleting a single reminder is not, by itself, an immediate and permanent erasure of that record.

Erasing the data on your device. Delete the PillsCheck app from your device. This removes the single local file that holds your data, and any device backups remain subject to your Apple settings.

Erasing the iCloud copy. Deleting the app does not delete the copy stored in your iCloud account - that is the point of the feature, since it is what allows a reinstall to restore your history. There are three ways to remove it. In the app, at any time: open Settings and tap Delete data from iCloud at the bottom of the screen; this deletes the copy and turns sync off. Also in the app: open Settings, then iCloud Sync, turn the switch off, and choose to delete the iCloud copy. Outside the app, at any time: open iOS Settings, tap your name at the top, then iCloud, then the storage-management screen that lists the apps storing data in iCloud, select PillsCheck, and delete its data. If another of your devices still has sync switched on, it may upload its own copy again afterwards; turn sync off there too if you want the copy to stay gone. Because the copy is in your Apple Account and not in ours, this is something only you can do; we cannot delete it for you by email request, and we never had a copy of it.

17. International Transfers

We do not transfer your medication data internationally, because we never receive it and we operate no backend that would move it. There is no controller-initiated cross-border transfer of that data by us, so no Standard Contractual Clauses, transfer mechanism, or transfer assessment is required on our side.

The iCloud copy described in Section 5 moves between your device and Apple's infrastructure, not ours. Apple determines where iCloud data is stored and applies its own safeguards for any cross-border transfer, under the iCloud terms and privacy policy you accepted with Apple. We neither receive that data nor choose where it is kept.

The same is true of the iCloud-photo case described in Sections 2 and 8: if you select a medication photo stored in your iCloud Photos, iOS/Apple (not PillsCheck) may retrieve that photo from your own iCloud under Apple's terms. That is an interaction between you and Apple's service, not a transfer of data by us.

18. Children

PillsCheck is intended for individuals managing their own medication routine.

European Union. The age of digital consent under Article 8 GDPR is 16 in Poland, where we are established. We do not knowingly direct the app at, or solicit information from, children below that age in the EU. If a person below 16 uses PillsCheck, a parent or legal guardian should take responsibility for reviewing the app, managing device permissions, supervising the medication information that is entered, and managing or deleting that information when appropriate.

United States. PillsCheck is a general-audience app intended for adults managing their own medication. It is not directed to children under 13, and we do not knowingly collect personal information from children. (Because we collect nothing on a server in the first place, there is no children's information for us to hold.)

The age of digital consent differs by country, and the 16 figure above reflects the Polish rule under Article 8 GDPR; it is not presented as the rule in the United Kingdom or other jurisdictions.

19. United States: Sale, Sharing, and Targeted Advertising

For all users in the United States, we make the following affirmative statements:

  • We do not sell your personal information or consumer health data.
  • We do not share your personal information for cross-context behavioral (targeted) advertising.
  • We do not use your information for targeted advertising of any kind.

Because nothing is collected on a server, sold, or shared, a "Do Not Sell or Share My Personal Information" link, a Global Privacy Control honoring mechanism, and a sale/share opt-out are not applicable and are not provided; adding them would imply a data flow that does not exist.

California. If California privacy law applies to you, California residents may, in principle, have rights to know, access, correct, and delete personal information, and to opt out of its sale or sharing. PillsCheck does not collect your medication data on a server, does not sell it, and does not use it for cross-context behavioral advertising. Your medication data would be "sensitive personal information" if it were collected on our side - but it is not; it stays on your device and in your own iCloud account. We are not a "business" that meets the CCPA/CPRA applicability thresholds, and this section is provided as a courtesy rather than because those obligations attach to us.

Consumer health data. Some US states have specific consumer-health-data rules. Our design means the medication routine data you enter stays on your device and in your own iCloud account, and is never collected, sold, or shared by us. For details, including Washington and Nevada specifics, see our Consumer Health Data Privacy Policy (Section 22).

20. Canada

For users in Canada, the federal Personal Information Protection and Electronic Documents Act (PIPEDA), Quebec's Law 25, and the Alberta and British Columbia Personal Information Protection Acts may be relevant.

  • No collection of your app data. We do not collect, use, or disclose your medication, dosage, note, photo, schedule, or dose-outcome data - it stays on your device and in your own iCloud account, and never reaches us. The only personal information we can actually receive is what you voluntarily send us in a support email (your email address and the text you write). Please do not include health details in support emails.
  • Accountable person. The individual accountable for our handling of personal information, and the person in charge of the protection of personal information for the purposes of Quebec Law 25 (section 3.1), is Ivan Sokalskyi, reachable at privacy_pills@rongan.me.
  • Access, correction, and complaints. You can access, correct, or delete your on-device data directly in the app or by uninstalling it. For any limited support-correspondence personal information we hold, you may request access, correction, or deletion by emailing privacy_pills@rongan.me. If you are not satisfied, you may contact the Office of the Privacy Commissioner of Canada (OPC) or, in Quebec, the Commission d'accès à l'information (CAI).
  • Consent. To the extent any consent concept applies to the on-device processing of health information, you provide it by voluntarily entering the data, and you withdraw it by deleting the data or the app.

21. Australia

For users in Australia, the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) regulate "APP entities." As a small-business operator that holds no health information (your medication data stays on your device and in your own iCloud account, and is never received by us) and does not trade in personal information, we are not an APP entity in respect of that on-device data, and the APPs do not, as a matter of law, attach to it.

Even though the APPs do not bind us for this data, we voluntarily align with Australian privacy expectations: we are transparent through this Policy, we do not sell or disclose your data, and on-device data is protected by iOS device security. We do not promise a Notifiable Data Breach process for on-device data, because there is no entity-held store of it that could suffer an eligible data breach. If you have a privacy concern, you may contact us at privacy_pills@rongan.me, and you may raise it with the Office of the Australian Information Commissioner (OAIC).

22. Consumer Health Data Privacy Policy

Because PillsCheck handles health-related information and is available in the United States, we also maintain a separate Consumer Health Data Privacy Policy. It addresses how consumer health data is handled, including for residents of states with specific consumer-health-data laws such as Washington (My Health My Data Act) and Nevada (SB370). Please read it alongside this Policy:

23. HIPAA Does Not Apply

The US Health Insurance Portability and Accountability Act (HIPAA) does not apply to PillsCheck. We are not a "covered entity" (such as a health plan, health-care clearinghouse, or health-care provider conducting standard transactions) and we are not a "business associate" of any covered entity. A consumer who self-tracks their own medications in a direct-to-consumer app generates health information that is outside HIPAA. We therefore do not, and could not accurately, claim to be "HIPAA compliant."

24. Health and Medical Disclaimer

PillsCheck is a personal routine-support tool, not a medical device. It does not verify that a medication is medically appropriate, calculate safe dosage, warn about contraindications or drug interactions, provide diagnosis, replace medical advice, or communicate with doctors, pharmacies, or relatives. Always follow the instructions of your doctor, pharmacist, or other qualified healthcare professional.

25. Changes to This Policy

We may update this Privacy Policy from time to time. The updated version will be published with a revised "Last Updated" date. If a change is material - for example, a change that affects the legal basis or scope of processing - and if required by law, we will provide additional notice or request your consent before it takes effect.

26. Controlling Language

This Privacy Policy is drafted and maintained in English, and the English version is the controlling version. The PillsCheck app interface is localized into several languages, but the legal documents are provided in English only.
